Who we are

Crewloop is run by Iron Front Solutions LLC, a Texas limited liability company doing business as Waymaker ("Waymaker", "we", "us"). This policy describes the personal information we collect through crewloop.ai and the Crewloop service and app on our website (crewloop.ai), how we use it, who receives it, how long we keep it, and the choices you have.

Write to support@crewloop.ai about anything in this policy.

What we collect

We collect the categories of personal information below, named as California law names them, from the sources shown, for the purposes shown, and we disclose each to the categories of recipients shown.

  • Identifiers: when you ask for early access: your work email address, your name, your company, its number of locations, the tools you use, the referral code you arrived with and the version of the notice you saw. When you sign in: your email address, your name, your company and your role in it. From you. Used to provide the service and its features; create and run your account; send you messages about your account and the service; tell you about our products; and answer you when you contact us. Disclosed to hosting, database and infrastructure providers; and email and messaging providers.
  • Professional or employment-related information: the conversations a business connects to Crewloop (calls, site visits, meetings, email and chat) and the notes, open items and reports made from them, which name the people in them and what they said. The business decides what to connect; Crewloop processes it for the business under our Data Processing Addendum. Crewloop keeps an index of each conversation (who was on it, when, on which line, and which job it landed on); the full note is written to the business's own storage. From services you connect and other users. Used to provide the service and its features; answer you when you contact us; and keep the service and accounts secure and prevent fraud and abuse. Disclosed to hosting, database and infrastructure providers; apps you choose to connect; and other users, as you choose to share.
  • Audio, electronic, visual, thermal, olfactory or similar information: a site visit recorded with the Crewloop app on a phone, after the person recording confirms that everyone there knows. The phone turns the recording into text itself; the audio goes to the business's own Google Drive or OneDrive, and Crewloop's servers do not store it. From your device and browser. Used to provide the service and its features. Disclosed to apps you choose to connect.
  • Personal information described in the California Customer Records statute: a business's billing contact, company address and subscription. Card details go to our payment processor, never to us. From you and our service providers. Used to process payments and keep billing and tax records; and meet legal obligations and enforce our terms. Disclosed to payment processors.
  • Internet or other electronic network activity information: website visits, counted by Cloudflare Web Analytics without a cookie: the page, the site that sent you, your country and your kind of device and browser. Requests to our services carry your IP address and browser details, which we use to keep the service secure and to stop automated abuse. From your device and browser. Used to keep the service and accounts secure and prevent fraud and abuse; and understand how the service is used and improve it. Disclosed to hosting, database and infrastructure providers; and analytics providers.

Sensitive personal information

Some of what we collect is sensitive personal information under some state laws:

  • Account log-in details (your email address and password), to let you sign in, and to keep the sealed credentials a business gives Crewloop to read its connected tools.
  • The contents of your mail, email or text messages, to file the conversations a business connects to the business's own jobs, at the business's direction.

Where applicable law requires your consent before we process sensitive personal information, we ask for it.

How we use it

We use personal information to:

  • provide the service and its features;
  • create and run your account;
  • send you messages about your account and the service;
  • tell you about our products;
  • answer you when you contact us;
  • keep the service and accounts secure and prevent fraud and abuse;
  • process payments and keep billing and tax records;
  • meet legal obligations and enforce our terms;
  • understand how the service is used and improve it.

We may use information that has been de-identified or aggregated, so that it no longer identifies you, for any lawful purpose.

Who receives it

We disclose personal information to these categories of recipients, for the purposes in this policy:

  • Hosting, database and infrastructure providers.
  • Email and messaging providers.
  • Apps you choose to connect.
  • Other users, as you choose to share.
  • Payment processors.
  • Analytics providers.
  • Professional advisers, such as lawyers and accountants.
  • Courts, regulators and law enforcement, when the law requires it.
  • A company that acquires our business or its assets.

Our sub-processor page lists the companies that process personal information for us, what each receives and where.

In the 12 months before the date above, we have not sold personal information, shared it for cross-context behavioral advertising, or used it for targeted advertising, as applicable law defines those terms, and we have no actual knowledge of selling or sharing the personal information of anyone under 16.

Cookies and browser signals

We use cookies and similar technologies that the service needs to work, such as keeping you signed in and keeping it secure and that remember your choices.

Our website does not change what it does when a browser sends Do Not Track.

Where applicable law gives you the right to opt out of the sale or sharing of personal information, we treat a Global Privacy Control signal from your browser as that request.

We do not permit other companies to collect information about your activity over time and across other websites through our service, except service providers acting for us, for example to prevent fraud.

How long we keep it

We keep personal information for as long as we need it for the purposes in this policy, and then delete or de-identify it, unless the law requires or allows us to keep it longer.

  • Early-access and referral-partner sign-ups: until you ask us to delete them, by writing to support@crewloop.ai.
  • A business's account, its people and its settings: while the business uses Crewloop, and until the business deletes its account or asks us to.
  • Crewloop's index of a business's conversations: until the business deletes the conversation or its account, or asks us to delete them. The full notes stay in the business's own storage, under its own retention.
  • Billing and tax records: as long as tax, accounting and fraud law requires, including after an account is deleted.
  • Security records: for a limited time, as long as we need them to keep the service secure.

When you delete your account, we delete or de-identify the personal information it holds within a reasonable period, except what we must keep for legal, security or billing purposes. Copies in backups and in our providers' system logs expire on their own schedules.

Your choices and rights

Anyone can delete their account at any time, on the web at crewloop.ai/contact, or by writing to support@crewloop.ai.

Depending on where you live, and where applicable law provides them, you may have the right to:

  • know what personal information we hold about you, and get a copy of it in a portable form;
  • correct it;
  • delete it;
  • opt out of its sale or sharing, of targeted advertising, and of profiling that has legal or similarly significant effects;
  • limit the use of sensitive personal information;
  • withdraw a consent you gave;
  • not be treated differently for using these rights.

To use them, write to support@crewloop.ai. We verify a request by matching it to the account it concerns, and may ask for more information to do so. Where applicable law allows, an authorized agent may make a request for you; we may ask the agent for your signed permission and ask you to confirm your identity. If we decline a request, you can appeal where applicable law provides an appeal, by replying to our decision; if the appeal is denied, you may contact your state's attorney general.

Security

We use reasonable administrative, technical and physical safeguards designed to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee the security of your information. If a security incident affects your personal information, we will notify you as applicable law requires.

Children

Crewloop is not for anyone under 18. If we learn that an account belongs to someone under 18, we may delete it.

Changes to this policy

We may change this policy. We post each new version here with a new date. If a change is material, we tell you before it takes effect, by email or in the product, as applicable law requires, and we ask your consent where the law requires it, such as before using personal information we already hold in a materially new way.
