Questions and answers

What restoration owners and office managers ask before they connect their first recorder.

Setup and recorders

Do we need new recorders?

No. Crewloop connects the ones your team already uses: Quo phone lines, Granola, Roam, Microsoft Teams, Outlook and Gmail, and any recorder that saves files to a Drive or OneDrive folder. Plaud recordings come in through your inbound address, and an iPhone recording through the share sheet or an upload link.

How long does setup take?

An afternoon. Connect your storage and your AI, connect each recorder, then each person makes one test recording on each line. When every line on the setup grid shows a filled blue dot, you're done.

How does Crewloop know which job a call is about?

It reads the signals in the conversation and around it: the phone number, the address, the job number, the names. When it is sure, it files the conversation on the job. When it isn't, it asks one person to pick the job, with one click.

What if someone's line goes quiet?

Crewloop watches every line. If Mike's calls stop landing, his square shows an orange dot and the word Quiet, and it appears on Today for him and the owner.

Can we bring calls from personal iPhones?

Apple keeps call recording inside its own apps, so an iPhone recording reaches Crewloop through the share sheet, an upload link, or a recording line like Quo.

Your data and your AI

Where do our files live?

In your own Google Drive, OneDrive or SharePoint, in each job's folder. Crewloop keeps an index so it can match, search and report; the full record is your copy, yours to keep.

Does Crewloop use AI on our conversations?

Crewloop's matching is plain rules, not AI. Summaries, reports and answers come from the AI your company already pays for (Claude, ChatGPT, Microsoft Copilot or Gemini, on plans that allow connected apps), connected to Crewloop. Crewloop's servers run no AI and no transcription; a site visit recorded in the Crewloop app is transcribed on your phone, by your phone's own speech recognition.

Who can see what?

Each conversation is private, shared with a division, or shared with the whole company. Owners set the default; people see the jobs they're on.

Is our data used to train AI?

No. Crewloop trains no models, and it sends your conversations only to the AI app your company connected.

Which vendors touch our data?

Cloudflare runs Crewloop's servers, Supabase holds its database, Stripe bills your subscription and Resend delivers its email. The Security page lists each one with what it touches and its audit report.

Can we leave and take everything?

Yes. The full record is already in your Drive or OneDrive. Crewloop's index exports in one step, and deleting your company removes it.

Recording consent

Is it legal to record our calls?

Recording laws differ by state; some require every party's consent. Your company is responsible for consent under our Terms. Crewloop helps: an announcement setting for each recorder that supports one, a consent record on every conversation, and a state-by-state guide (information, not legal advice).
